No more paper chaos: overtime, on-call duty, and time entries in SAP Fiori

What began in 2018 as a project request from an existing customer has now developed into one of scdsoft AG’s most widely used add-on solutions. The scdsoft overtime request has undergone continuous development as an SAP HCM add-on solution and is now used by over 30 companies to enable the request, approval, and posting of overtime, on-call duty, and/or time transfers in a digital workflow integrated with SAP HCM. A development that benefits over 200,000 employees, managers, and works council members.

Functions of the scdsoft overtime request

The original trigger for the project request from our existing customer was the lack of a standard SAP solution that completely digitizes the overtime request process. From the submission of the request to approval by several instances, if necessary, to automatic posting to SAP HCM infotype 2007. The scdsoft overtime request now also includes requests for on-call duty and time transfers, including automatic posting to the corresponding infotypes 2004 and 2012.

  • Collective applications for managers: One of the most important features is the option for managers to apply for overtime for an entire team of employees reporting to them at the same time. This saves time, as each employee does not have to take action individually, especially if the entire team is working overtime for the same reason.
  • ESS applications by employees are of course also possible.
  • Extended range of functions: The tool now covers much more than just overtime. It also covers on-call duty (IT 2004), time transfers (IT 2012), and even scenarios for short-time working (IT 2003).
  • Table entry: A new function allows multiple periods to be entered in a single application, which is particularly helpful for on-call duty lasting several days.
  • Copy function: To minimize effort, applications that have already been submitted can be copied as templates and adapted for new periods or teams.

Digitization that pays off!

Digitization pays off – as demonstrated by the impressive example of our existing customer DIEHL. By implementing the scdsoft overtime request form for approximately 6,000 on-call requests, DIEHL has achieved an estimated productivity increase of 1,000 hours per year (compared to the previous paper-based process).

  • Reporting Cockpit: Enables evaluations for committees such as the works council directly in SAP Fiori.
  • Vacation Planner & Clock In/Out: While the overtime request represents approval for the attendance quota, the actual working time is recorded via time events or attendances.
