Payroll Statement: Printing for Master Data Changes (EBV § 2)

In the Wage Statement Regulation, the content, form, and procedure of the wage statement are regulated. It also specifies when a wage statement must be printed and when no printing is necessary.

EBV § 2 Paragraph 1 Sentence 2:
“The obligation is waived if there are no changes compared to the last accounting period or if only the accounting period itself (§ 1 Paragraph 1 Number 6) changes.”

EBV § 2 Paragraph 1 Sentence 3:
“If a wage statement contains substantive changes compared to the last certificate, a note may be included indicating for which wage accounting periods no certificate was issued because no changes occurred, thus allowing for continuous documentation.”

This capability has now been created by SAP. Through some customization adjustments, it is possible to control the printing of wage statements. Distinctions can be made based on criteria for which employees should receive statements only when changes occur and for which employees the wage statement should always be printed.

The criteria for when wage statements are printed in response to changes can be individually controlled. For this purpose, individual fields from tables or structures can be compared with the corresponding values from the previous month.

Additionally, a new text field can be included on the wage statement to display the date of the last print. This option is available for all form types. With the new “Print Logging” functionality, the printing can be logged, providing visibility into when the wage statement was last printed. By default, the client, employee number, and accounting period are logged. Additional fields can be added to the log.
