How to accurately represent the provision of company vehicles (cars, company bicycles) in SAP HCM

Provision of company vehicles and bicycles

More and more companies are offering their employees the provision of company vehicles (cars, plug-in hybrids, electric cars, and especially job bicycles) of various types.

However, the SAP standard (see SAP Note 2815763) for maintaining company vehicles is not up-to-date: HR administrators must manually reduce the list price to record the percentage benefits for taxation, which can be a potential source of errors. Additionally, it is not possible to record both a company car and a job bicycle for the same employee simultaneously.

Furthermore, distinguishing the type of vehicle (electric car, plug-in hybrid, S-pedelec, and e-bike) is not possible. Following the SAP standard, the pay statement always states ‘car (PKW).

Implementation using scdsoft’s proprietary SAP HCM infotype ‘Vehicles

To simplify the maintenance and handling of various vehicles, including leasing rates and employer subsidies, for the HR department, we have developed an SAP HCM infotype. Within this infotype, all relevant information can be entered for different types of vehicles. The following vehicle types can be represented using our infotype:

  • (Combustion) Car (PKW)
  • Plug-in Hybrid Car (Plugin-Hybrid PKW)
  • Electric Car (Elektro-Auto)
  • Bicycle (Fahrrad)
  • E-Bike/Pedelec
  • S-Pedelec
  • E-Scooter
  • E-Roller
  • E-Moped

In addition to entering the uncut list price, distinctions can be made based on the type of vehicle and the corresponding percentage benefits (for each type of vehicle). The respective assessment limit is automatically calculated. Furthermore, multiple vehicle types can be assigned to one person simultaneously.

The ‘Vehicles’ infotype can be seamlessly integrated into your existing SAP HCM payroll. It can transfer all relevant information to the accounting system, such as SAP FI, ensuring that correct list prices are automatically used for calculating the applicable sales tax.
